Guidelines for Corporations planning Rotating Art Exhibitions
by Patricia Frischer

Translation of this article into Spanish by Karla Duarte

This short tutorial is intended to be a guide for Corporations and businesses of all levels that are trying to help artists by displaying their work in a business facility. Generally the corporation feels that this type of display is a terrific boast to the artists, but the reality is that they are getting free decoration and the artists don’t always get sales of their works. In order to make this a win-win arrangement for both parties we are suggesting the following tips.

Why do Companies Display Art?

  • Displaying art humanises the workplace
  • Display art shows status to visiting clients
  • The art can support the brand image and corporate identity.
  • Art can be a very sound investment.
  • Art can be a big stress reliever in the workplace

Remember the works of art must be appreciated by people normally in the space and that there may be issues regarding company colours or images used within the composition (for exampoles nudes).

  • Make sure that the decision maker about what sort of art is being chosen for display is available early on in this process
  • Assign one liaison person to work with one liaison from the Art Association with which you are working. Alternatively, make sure that you are working with an artist agent, art dealer, art consultant or an art qualified interior designer.
  • Delivery of work is ideally done by this liaison person who collects all the works previous to the date of final delivery.
  • Be prepared to send out a press release about the show. This helps the artists as much as it is good PR for the corporation.
  • Use the opportunity of the exhibition to arrange a party for the office perhaps inviting clients or suppliers as well as staff. Make sure and invite the artists and their guest as well. Invite cards that have images of the works are best for all parties. Most artists readily agree to have their images used for promotion, but this permission must be granted.
  • Changing the display is important to keep the creatively energy fresh. We suggest a maximum of four times year but it can be as little as once a year. It may take a full day to exchange works and you want to minimize disruption of the workday. If you have special wall requirement make sure you have staff to supervise or even handle the installation.
  • Good lighting is vital for effective displays and so allow for lights to be re-arranged or additional lights to be installed.
  • The work should be insured while on the premises so check that is possible with the insurance agent.
  • A contract or simple letter of agreement should be drawn up stating responsibilities including but not restricted to commissions (if any) for work sold, arrangements for payment of work sold, delivery dates for start and end of the exhibition period, expenses of an opening reception.
  • It is important to give simple receipts for all works delivered. In case of emergency, this is the artist safety net for getting work returned.
  • Consider a rental fee for the art while it is on display. Corporation know that they have to pay for professional services and artist should be compensated for their time and skills.
  • Let your star employees choose a work from the exhibition as part of an incentive awards scheme. The art work can go outright to them at the end of the show or become part of your corporate collection. This sends a very strong message that you believe in the value of creativity. Everyone benefits!
